Data Protection Policy
This document sets out how Crawley Croquet Club (CCC) satisfies the processing requirements of the General Data Protection Regulation (GDPR).
Data we collect
The club requests the following personal data from its members:
- Name
- Telephone number(s)
- Email address
- Postal address
- Croquet handicap levels
All of this data is held securely by the Secretary for administrative purposes only.
How your data may be used
Members can agree to any, all, or none of the following options:
In relation to club activities:
- Allow your name, phone number(s), email address and handicap to be shared with other members and displayed on a list in the clubhouse (postal addresses will not be included)
- Receive occasional emails or written correspondence relating to the club's activities or other croquet-related matters
In relation to Croquet England:
- Allow your name and postal address to be passed to Croquet England so that you can become a Standard Member
- Allow the remainder of your personal data to be passed to Croquet England
Croquet England processes any personal data you have allowed them to have in accordance with their Data Sharing Agreement, which may be viewed at croquetengland.org.uk.
Retention and deletion
Your data will be deleted 15 months after you cease to be a member. CCC will not provide your personal information to any other party without your written consent. If you wish to amend or request deletion of your personal data, please contact the Club Secretary.
Safeguarding Policy
Crawley Croquet Club, as an affiliated member club of Croquet England, accepts that all our members have a responsibility to safeguard all vulnerable people sharing in all our activities.
Our commitments
The Club Committee has ensured that:
- A Local Safeguarding Officer (LSO) is appointed and their contact details registered with Croquet England
- All members are informed on joining, and reminded annually, of their responsibilities to be aware of the need to safeguard children (those under 18) and adults at risk
- Members are expected to be good role models in play and other croquet activities, and to comply with the Croquet England Codes of Safeguarding Conduct
- Any safeguarding concerns are reported to the LSO or Chairman at the earliest opportunity
- Any safeguarding matter that arises is reported to the next committee meeting, and an annual report is presented to the AGM
Relevant policies
The Croquet England Safeguarding Policy was adopted by this club on 14 June 2023 and is reviewed annually to reflect best practice.
Governing Body
Following the change of name and status of croquet's governing body in England, all references to the Croquet Association within our policy documents now refer to Croquet England.
Crawley Croquet Club is also affiliated to Croquet South East (formerly the South East Croquet Federation).
